Logistics Specialist



Transportation and Outbound Logistics

  • Manages relationship with FedEx, UPS, USPS and freight carriers.
    • Negotiates yearly contracts, pricing incentives and freight programs.
  • Works with Fulfillment and Sales to provide LTL Rate Quotes as needed using combination of system data, logistics knowledge, and online tools.
    • This includes scheduling pickups, creating BOL’s and notifying destinations for delivery.
  • Reviews and approves all inbound and outbound freight invoices.
    • Includes small parcel and LTL/FTL freight.
  • Owner of online FedEx, UPS and other freight online web services. This includes providing user access and training.
  • Sets Audits and reporting to validate LTL quotes, Pro Numbers for future invoice matching. 
    • Checks against customer charged freight to validate good margins.
    • Disputes invoices and rebilling as needed.
  • Provide general guidance to staff regarding transportation times, limitations, expectations, and costing.
    • Includes freight break, mode changes, and problem solving as needed

 

Inbound Logistics Responsibilities

  • Manages relationship with freight forwarders for International and USA imports/exports.
    • Includes using online tools for visibility and approvals.
    • Negotiating transit pricing for all import lanes to the USA.
    • Notifications of changes as needed to our SOP such as locations, vendor and business rules.
  • Creates booking records and landed price calculations in ERP system.
    • Reviews daily any changes or updates as needed to the inbound delivery dates.
    • Works directly with factory contact on status of shipments and assistance for bookings.
  • Works with Purchasing and Inventory Manager to provide updates on delivery dates and delays.
  • Follows shipments from origin to destination.
    • Includes sending arrival notices to destination.
    • Setting up delivery schedule for online applications.
    • Processing paperwork generated from shipment to accounts payable.
    • Placing documentation in related cloud sourced applications for reference.

 

  • Process 3rd party warehouse receipts as needed.
  • Audit and code ocean invoices and estimate margin data with a high level of accuracy (includes auditing customs entry 7501).
  • Audit and code drayage invoices with the understanding of current port condition to understand variances.
  • Process 3rd party warehouse inbound invoices by matching to receipt, auditing cubic feet and cost for accuracy as a part of “Handling” on landed costs
  • Provide customs broker with HTS and country of origin information as requested.
  • Manages custom duty calculations for product categories and country of origin.
  • Provide purchase order data for USA inbound shipments to designated freight forwarders.
  • Obtain Air and LCL spot quotes as needed for samples and high demand inventory shipments.

 

Additional Responsibilities

  • Processing of 3rd party warehouse outbound and storage invoices.
  • Complete inventory transfers in system as needed.
  • Setup and communicate transfers from warehouse to warehouse which requires manual web entry, shipping cost estimation, and inbound communication notices.
  • Train and act as backup to Fulfillment Coordinator, Purchasing /Inventory Analyst and International Distributor Coordinator.
  • Other duties as assigned.

Qualifications:

  • 2 years Logistics Experience Required
  • 2 years Excel Experience Required (Intermediate to Advanced Level)
  • 2 years LTL, FTL and Small Parcel freight experience Required
  • 2 years Ocean Logistics knowledge Required
  • High School Diploma (minimum)
  • Basic Mathematical Skills
  • Excellent time management skills and ability to prioritize work
  • Attention to detail and problem-solving skills a must
  • Excellent written and verbal communication skills
  • Strong organizational skills and ability to multi-task
